APEC 2025 KOREA: Premium Protocol Transportation Empowered by T-RiseUp

In international conferences such as APEC, where a large number of global high-level officials attend, 'Protocol Transportation' is more than just a means of travel—it is directly linked to the nation's prestige. At the center of this massive project, where hundreds of vehicles and personnel had to move organically, was GroundK’s smart vehicle management system, ‘T-RiseUp.’

GroundK precisely controlled approximately 500 vehicles and personnel through its proprietary vehicle management system, T-RiseUp. The core of this project was ensuring psychological and operational stability through exclusive vehicle allocation for each dignitary. By pre-matching and deploying optimized vehicles for each guest despite rapidly changing schedules, we fundamentally prevented any dispatch confusion. This strategy of dedicated vehicle deployment eliminated unnecessary field disturbances, creating an environment where both organizers and dignitaries could focus entirely on the meetings.

The perfection of a system comes from field execution. GroundK realized system-based vehicle management by conducting thorough prior training on the dedicated app for all drivers. As experienced drivers shared real-time updates via the app, managers monitored 500 protocol vehicles in real-time on the dashboard, achieving a flawless digital workflow without any resource waste.

Communication with Host Economy Liaison Officers (HELO), who assist the 22 economic leaders at the closest proximity, was also a key challenge of the project. GroundK selected and deployed veterans with extensive motorcade experience among elite drivers to provide the highest level of stability in communication and movement with HELO. Furthermore, we conducted route surveys and simulations starting 10 days before the leaders' arrival to complete thorough preparations. This allowed us to provide seamless transportation support without hesitation, even for urgent movement requests late at night or early in the morning, backed by expert skills and a precise understanding of the system.

The Gyeongju Bomun District and major hotels, where high-level officials gathered, had geographical constraints with limited vehicle waiting spaces. GroundK implemented an ‘On-Time’ strategy, utilizing T-RiseUp’s real-time location data to have vehicles wait remotely and enter the site only immediately before boarding and alighting. Even in a crowded scene with 6,000 people and numerous vehicles, managers controlled the entry timing of vehicles to the second through the system. As a result, participants were provided with a wait-free, pleasant travel experience, and the organizers were provided with an optimal security environment without congestion.

The successful protocol transportation at APEC 2025 KOREA is a significant milestone for GroundK beyond just completing a project. Being able to successfully finish the event without a single safety accident while undertaking a national duty was possible thanks to the organizers who trusted our technology and field operation capabilities, as well as every field staff member who dedicated themselves behind the scenes. Beyond the relief of a successful event, we feel deep pride and gratitude for showcasing the prestige of 'K-Protocol' to the world.
